Membership – Tammy Harmon Responsibilities
  • Sending a “Welcome” email to all new members – this email will be in the templates and you will simply copy and paste
  • Sending a “Why should I join WCR” email to all those people who come to the meetings that are not currently a member  – this email will be in the templates and you will simply copy and paste

  • Make sure Event Director has all new names and email addresses to provide subscription to the monthly newsletter and event invitations

  • Manage Public Facebook with no less than member birthdays, event sharing, achievements, etc.

  • Pick possible Rising Star Candidates and send nomination to State 
  • Contact all members falling off membership before the end of March to encourage renewal
  • Check on biweekly WCR Roadmap emails for additional deadlines and requirements

I have created a new email address for us all to use as well as the future boards to continue to use.  Each of you please add this gmail account to your favorites tab so that you have easy access to it.  Instructions below in case you have never used gmail.com before.
  • Open Gmail.com
  • Sign into “WCRMidTN01
  • Password is Realtor1!
  • Now you are ready to use this email
2.  There are folders on the left to move emails to in order to keep this format organized
  • We will putting templated emails to be used when sending out specific emails, i.e. “Welcome to Women’s Council”, “Thank You for Becoming a Strategic Partner”, etc.
  • There will be assigned persons to do specific emails but in the event that person in unavailable, any one of us can take care of it
  • Please use only this email to communicate to members, potential sponsors and such.
 
Communicating with potential and existing Strategic Partners for 2023
  • Please send them the Strategic Partner Guide Link 
  • We are encouraged to have them pay between now and the January meeting (so we have plenty of time to get the Banner with their logo on it)
  • However, bank deposits need to end by the Dec 14th Installation so we can turn over books for the audit and not deposit anymore until Jan 2023
  1. The best would be, to send the link while you are discussing things with them to show them the value
  2. Have them click the bottom of the link to fill out the online application but encourage them to give you (or send to Amy) a check for the specific type of Partnership
  3. This way we have the funds, Amy can deposit them in Jan, and the banner can be created and delivered to us for the Feb meeting
  4. If they need a paper application give them this one Printable Strategic Partner Application (but remind them the application with funds need to be paid prior to or at our Jan meeting to get their logo on the banner
  5. Add name and contact information to google drive link that will be on the Facebook WCR Board Group (Georgia can you please set one up for All types of Sponsors) 

Notes from Shauna to Help Us with 2023.

The Roadmaps emails will have links and deadlines on them at times so it’s good to read that and the Network Tools are helpful. The Network operations manual is very helpful as well. It’s on the WCR website and I sent you a copy as well. 

January-We have always tried to make that one with a really strong speaker to get attendance and set the precedence for the year. The sponsorship banner has to be at the Feb meeting so make sure that your sponsors are set and that has been ordered. 

February is TNEX. The board does not have to go to TNEX as a whole but they do have to go to the Women’s Council meeting. It is a general meeting for voting. Also, let your membership know about the meeting and encourage them to attend and vote. The state has a rising star that they will nominate in Sept so pick your rising star and send them the application. It needs to be someone new who has stepped up. 

March 31st is when non-renewing members fall off your roster so you want to make sure that you contact anyone who hasn’t renewed their membership.  You may want to ask the state if they still only count the people who renew in March towards the contest for growth.  If that is the case then ask your membership to wait until March to renew. 

May is the mid-year meeting. The President has to vote. If the President cannot be there, a proxy has to be sent to vote. It can be someone on your board who goes in your place.  I know that several members go on a regular basis as well and they have stood in the President’s place. But someone has to vote for you. I do not know how to assign them as your proxy so you will have to ask your state president. 

June/July-we usually don’t have a meeting but that is your choice. 

July or August will be the Leadership 360 meeting for the President-Elect. 

August-start working on the network certification. The form said Oct 1 but our state president asked for it in Sept.  So, you will have to just play that one by ear. Also, the voting meeting is usually in October for the upcoming board but we were asked to do that early this year.  Before that is done you have to put together the nominating committee for the board. The President sends the emails to put it together and sends the application and the President-Elect presides over the meeting. You may just want to get that together in August. You will also need to have your Women’s Council member of the year applications sent before the TAR conference meeting. Whoever wins Realtor of the year this year will put together the committee for next year. Local Network Agreement to be signed by President-Elect for upcoming year. That will be on the Roadmap email that comes out so when that comes out be sure to check it. 

Sept will be the fall TAR conference. This is a voting meeting so the President needs to attend or a Proxy. Again, you can ask another member in membership to vote on your behalf if no one on the board is going. Sometime in Sept or Oct you will have to report the new board on the WCR website under tools and local networks. As soon as you do your voting, you will send the notes from the voting meeting to your state president. 

Oct or Nov will be the State training. This is somewhere different each year and the state President-Elect will pick the date and time. 

Nov is NAR. The president is strongly encouraged to attend. Or at least someone on the board. The budget and calendar of events has to be completed for the following year by the current President-Elect. Local network agreements for the current year need to be signed. They are under network tools. Vote for a Realtor of the Year and Affiliate of the Year for the local board to be announced at the Dec meeting. You also may want to get a gift for your board and the President-Elect gets a gift for the President from the board. This is in the budget. I have always paid for it myself but you can do what you want. 

Dec is installation for the new board. The President-Elect does the planning for this typically.  Someone will have to install who is not on the current board. The President-Elect will choose this person. Your books have to be audited yearly. I would suggest doing that shortly after your installation meeting so that way you’re ready for the January meeting. You cannot take money during the audit period. Debbie Mann has been so helpful with this. So you may be able to ask her. She has to put a committee together for it. 

Additional Notes:

Bill Highway told me that they will automatically terminate access to outgoing board members and give access to new board members after they are reported to WCR.  Make sure you tell the board members about the app. At least anyone working the front desk and treasurer. That is how they can take credit cards. The new board will have to order prepaid cards though. They do not automatically go out. 

Anytime you have a board member change you must report to WCR under Network Tools.

We wanted to start an annual Past President luncheon and Affiliate Appreciation Luncheon. We cannot pay for alcohol. Feb for Past President and Oct for Affiliate. That’s not set in stone, that was what we did in 2022. Past President was just the current president and president elect.  Affiliate Appreciation all board members. 

It is highly encouraged that a current board member is not voted to be state or local Realtor of the year. 

Print the Network Certification worksheet early and fill that out starting Oct before your year starts. I wish I would have had that. That will prepare you to know what you need. 

If you do not have the funds to travel then we cannot travel. Everything is based on the funds available. 

I wish I could have offered a trip to a member to go to TAR or NAR if the funds were available. Just to show value with a drawing or something. 

We need one good fundraiser a year. You can put together a committee and ask members to help. You’ll be surprised who will step up. You can find your leaders there. 

GNAR has been so great about including us so make sure you introduce yourself to Robin Roberts. 

Also MTAR does allow us to go to a new agent orientation to talk about MTAR so going would really be to your advantage. 

Make sure the sponsors are getting what is promised throughout the year. 

If you decide to do Beer, Bacon and Bourbon again; I have all of the signage in my garage. 

When you give the sponsors the sponsorship info, you can also try to set up luncheon sponsors at the same time. 

Make sure your Standing Rules are always on the microsite and you keep the notes from each meeting. This is just for the network. So the secretary will send them out after each meeting and the treasurer needs to report budget at each meeting. We have Bill Highway now so we can see it. 

Be sure to add new members to the eventbrite list and to reach out to them personally. I have found that emailing members about events has been helpful. Also send new member phone numbers to Tyler. Right now, I get the notification and send it to Valarie and she adds to Eventbrite and sends a welcome email. She sends a new phone number list to Tyler monthly with the event day and time for the reminder. 

The last Past President is invited to all board meetings. Board meetings must be done monthly. 

I thought that having this before the Memphis meeting may be more helpful so you can ask questions if you have them while there or if they have made changes you can update this. 

Feb fall conference–The WCR meetings are free so  there is no registration unless you vote to pay for CE as a perk.  All board members are required to attend the WCR general meeting. President is required to go to general meeting and state board meeting. Your board can go to the state board meeting if they want to but it really isn’t necessary. 
 
May Washington DC-President is required. 
 
Leadership 360 in Chicago-President Elect is required
 
Fall TN Realtors Conference-President is required
 
Orientation for incoming board-All incoming board members are required.
 
NAR-President is required. 
 
If the President cannot attend; President-Elect is always next in line. If the President-Elect cannot, you can ask other board members or ask a Proxy of another network member who may already be attending. 
 
As always, if the budget doesn’t allow travel then no one can go. If someone wants to pay on their own then they are always welcome to do that.
